Folklore Wedding Company
Privacy policy
Covers venues.folkloreweddings.com. Last changed 2 November 2026.
Folklore Venues is an index of places to marry on Vancouver Island and the Gulf Islands, kept by Folklore Wedding Company on Salt Spring Island in British Columbia. Couples find a venue and write to it here, and venues keep their listing and answer couples here.
This page says what the site holds about couples, venues and visitors, who else handles any of it, and what you can ask us to do with it.
Who is responsible
Sydney Woodward is responsible for the personal information Folklore Wedding Company holds. Write to sydney@folkloreweddings.com with any question about it, to see what we hold about you, or to have it corrected or deleted.
What we collect, and why
| What | Why | Who sees it |
|---|---|---|
| Enquiries: your names, email address, the date, the number of guests, the package you asked about, and your note | To put your question in front of the venue and to start the conversation with them | The venue you wrote to and us, as the page says before you send it. For one of our own venues, only us. |
| A couple’s account: your email address, your names, your phone number, how far along your planning is, the password you set, and the calendar address you choose | So you can come back to your conversations and your plans, and have dates sent to your calendar | You and us, and the venues you are talking to |
| Conversations and plans: the messages between a couple and a venue, the plan and dates they agree, and the documents added to them | It is where a couple and a venue work out the day | The couple, the venue and us |
| A venue’s account and listing: the venue’s details, photographs, films, packages, dates, the contact address for enquiries, and the names of the people credited for photographs and films | To publish the listing and to send enquiries to the right person | The public sees the listing. The enquiry address is not shown on the page. |
| Applications and early-access notes: a venue’s details and contact, its website, and the photographers and vendors it names, or your name, email address, role and note | To consider the application or answer the note | Us, and the applicant |
| Reviews: up to eight of a venue’s Google reviews, each with the reviewer’s name, rating, words and date. A few are shown on the venue’s page with the name. | So a couple can see what others have said about a place | The public, as on Google |
| Venues we may invite: the public business details of venues on the island, such as the name, town, website and phone number | To decide which venues to ask to be listed | Us |
| Counts: how many times each venue was shown, opened, had its website clicked or was written to. No address, device or name is kept with them. | To show each venue how its listing is doing | The venue and us |
We do not sell personal information, and we collect only what the work needs.
The services that help us run it
Each of these holds or carries personal information on our behalf, and only what it needs to do its part.
| Service | What it does | Where |
|---|---|---|
| Supabase | Holds the database and the files. Passwords are kept only in a one-way scrambled form. | Canada (Montréal) |
| Vercel | Serves the site. Vercel Analytics counts page visits and Speed Insights measures how fast pages load, both without a cookie. | United States |
| SendGrid | Sends the site’s email: enquiries, replies, sign-in links and calendar invitations | United States |
| Anthropic | Writes descriptions of a venue’s photographs and listing, and drafts a plan from a conversation when the venue asks it to, from the couple’s names, the date and the latest messages. Under its commercial terms it does not use what it reads to train its models. | United States |
| DataForSEO | Fetches the Google reviews and the public business listings described above | United States |
| Vimeo and YouTube | Play the films on a venue’s page, without tracking cookies where they offer that | United States |
| Browser notifications | Carry notifications to our own devices through the browser maker’s push service (Apple, Google or Mozilla) | United States |
Information held or carried outside Canada is subject to the laws of the country it is in, and may be reachable by authorities there.
Cookies, analytics and advertising
Signing in sets one cookie, which keeps you signed in for 30 days. It is the only cookie the site sets.
The site does not use Google Analytics, an advertising pixel or any tracking cookie. A film from YouTube or Vimeo is loaded in its privacy mode.
How long we keep it
Nothing is deleted on a timer yet. A conversation stays while the venue’s listing does.
Sign-in links work for 30 minutes and once only. A link to claim a listing works for 14 days.
Ask us and we delete what we hold about you.
Your choices
- Ask to see what we hold about you, and to have it corrected.
- Ask us to delete your account, your enquiries and your messages.
- A venue can ask us to take its listing down, or to remove a review shown on it.
We answer a request to see your information within 30 days. If you are not satisfied with how we have handled your information, you can complain to the Office of the Information and Privacy Commissioner for British Columbia.
Changes
When this policy changes, this page changes with it, and the date at the top says when. If a change affects how we use what you have already given us, we tell you first.
